Northeast Title and Tag is looking for a friendly, organized, and bilingual Administrative Assistant to join our DOT Compliance Services (DCS) division at our Keyser Avenue location in Scranton.

If you're organized, detail-oriented, enjoy helping people, and are comfortable balancing administrative responsibilities with customer service, this could be a great opportunity for you!

In this role, you'll provide day-to-day administrative support to our DCS team while also assisting customers by phone, email, and in person. You'll help process requests, maintain accurate records, organize documentation, and work closely with other divisions across Team Thompson to keep our operations running efficiently and ensure our customers receive excellent service.

No previous DOT compliance experience is required! We will provide the training you need to learn our processes, systems, and compliance services. We're looking for someone with the right attitude, strong organizational and communication skills, attention to detail, and a willingness to learn.

What You'll Do


  • Provide administrative and clerical support to the DOT Compliance Services team

  • Welcome and assist customers in a professional and friendly manner

  • Answer inbound phone calls and respond to customer emails

  • Communicate with customers in English and Spanish

  • Prepare, organize, scan, file, and maintain documents and customer records

  • Enter information accurately into company systems and databases

  • Identify customer needs and gather the information and documentation necessary to assist them

  • Process customer requests and assist with various administrative tasks

  • Provide accurate information or connect customers with the appropriate team member

  • Learn and become knowledgeable about DOT compliance services, processes, and requirements

  • Follow established procedures, scripts, and company policies

  • Document customer interactions and maintain accurate records

  • Assist with scheduling, follow-ups, correspondence, and other office responsibilities as needed

  • Work closely with other departments and divisions within Team Thompson

  • Maintain confidentiality when handling customer and company information

  • Maintain a positive and professional attitude, including when handling challenging situations

  • Participate in ongoing training to build your knowledge and skills

  • Take on additional administrative responsibilities as you grow within the position

  • Is fluent in English and Spanish

  • Has excellent verbal and written communication skills

  • Has strong organizational skills and attention to detail

  • Enjoys working with and helping people

  • Is comfortable answering phones and communicating professionally with customers

  • Is comfortable using computers and learning new software

  • Can accurately enter, organize, and maintain information and documentation

  • Can multitask and prioritize responsibilities in a fast-paced office environment

  • Remains calm, professional, and solution-focused under pressure

  • Is dependable and works well independently and as part of a team

  • Has a willingness to learn and take on new responsibilities

Qualifications


  • High school diploma or GED required

  • Previous administrative, office, receptionist, or customer service experience preferred

  • Bilingual English/Spanish required

  • Basic computer and data-entry skills required

  • Experience with Microsoft Office, Google Workspace, or customer management software is a plus

  • DOT compliance experience is NOT required
